How to lodge a tender on a government portal

The short answerTo lodge a tender, register on the portal and for the tender itself, prepare every file in the format and size the buyer allows, upload each one to the right place before the closing time, then submit and save the receipt. Lodge at least a day early, because portals slow down near closing and late responses are usually not considered.

Before lodge day

  • Check you are registered for this tender, not just the portal.
  • Read the lodgement rules: file types, size limits, naming, and whether price goes in a separate file.
  • Convert files to the formats asked, usually PDF, and Excel for pricing.
  • Check every signature and attachment.

On the portal

  1. Open the tender and its response or submission area.
  2. Upload each file to the matching field.
  3. Fill any online questions the portal asks.
  4. Submit, then download or save the receipt and confirmation email.

If something goes wrong

Contact the portal's helpdesk and the tender contact straight away, in writing, before the closing time. Keep screenshots of any error. Do not assume a late response will be accepted.

File preparation checklist

  • Files in the formats asked
  • File names as the buyer specifies
  • Under the portal size limit
  • Signed pages scanned clearly
  • Price in the separate file, if asked
  • Nothing password protected unless asked

A lodge day running order

  1. Check the portal for any late addenda.
  2. Confirm every returnable is complete, signed where asked and named the way the buyer asked.
  3. Convert to the required file format and check each file opens.
  4. Check file sizes against the portal limit.
  5. Upload, then download your own uploaded files to confirm they are the right versions.
  6. Save the lodgement receipt with the date and time.

Aim to finish at least a day before closing. Portal slowdowns close to the deadline are a common reason for late responses, and late responses are usually not accepted.

Questions

Can I lodge a tender by email?

Only if the conditions of tender allow it. Most government tenders require the portal and may not accept email.

Can I change my response after lodging?

Many portals let you withdraw and resubmit before the closing time. Check the portal's rules.

What if the portal will not accept my file?

Check the size and format first, then contact the portal helpdesk and the contact officer in writing before the closing time.
